 JOB PURPOSE

To oversee the secretarial and administrative support services, including administrative communications, government services and relations, warehouse management, visitor reception, travel services, and transportation management.

 

 KEY ACCOUNTABILITIES

DESCRIPTION

People Management

§  Manager the teamwork of the Administrative Support Department and follow-up evaluation of their performance by providing feedback on an ongoing basis and seek opportunities to develop their capabilities in order to motivate them and raise the level of performance of the work of the department.

§  Identify the training and development needs of the Administrative Support Department employees and fill the knowledge gaps to ensure continuous development and a high level of competence within the team.

Administrative Support

§  Manage the administrative support operations and activities, including administrative communications, warehouse management, governmental services management, vehicle management, greeting visitors, etc.

§  Oversee proper greeting of LCGPA’s visitors, ensure that suitable catering arrangements are made, and that all other guest formalities are followed.

§  Ensure that a complete and updated employee/department directory is always available for proper administrative functioning and communications.

§  Oversee transportation activities, ensuring that transportation schedules, vehicle maintenance, vehicle insurance coverage, etc., are managed and completed according to set guidelines and policies.

§  Ensure that proper travel arrangements (including airplane tickets, hotel reservations, visa processing, car rental, etc.) are made for employees and guests to avoid travel delays and to ensure high travel service quality.

§  Conduct regular visits to and audits of the warehouses; oversee the yearly warehouse inventory to confirm that inventory management is accurate, and that health, safety and security standards are maintained.

§  Oversee management of relationships with legislators, regulators, and government agencies and monitor all administrative government correspondence; oversee the work of the Government Relations Officer to ensure effective ongoing government relationship management.

§  Conduct a thorough review and analysis of reports submitted by subordinates and make timely decisions to ensure enhancing the Administrative Support Department performance, mitigating highlighted risks and achieving LCGPA’s objectives.
