2. JOB PURPOSE

To act upon being the first point of contact for LCGPA and perform a variety of office activities through displaying, a positive attitude and polished professional appearance, and redirecting the contactor to the right person in order to support external guests and stake holders in achieving their objectives of reaching out to LCGPA.

 

3. KEY ACCOUNTABILITIES

Description

Administration

§  Welcome LCGPA guests, determine nature of business, and announces guest to appropriate personnel.

§  Answering incoming requests (e.g. telephone calls, emails, fax, etc.), determine purpose of callers, and forward calls to appropriate personnel or department.

§  Receive and deliver messages or transfer calls to voicemail when the concerned employees are unavailable.

§  Maintain a record of the individuals who reached out to LCGPA and forward that record to the concerned personnel or department.

§  Support LCGPA senior management in executing the adequate etiquette in welcoming guests.

§  Execute filing and document management in coordination with Documentation and Archiving Department and the Chairman Office.

§  Support reception’s administrative requirements, as assigned by any of LCGPA departments in alignment with the Administrative Support Sr. Specialist.

Policies, Systems, Processes, Procedures, Standards and Reports

§  Follow all relevant functional policies, processes, standard operating procedures and instructions to ensure that work is carried out in a controlled and consistent manner.

§  Assist in the preparation of timely and accurate reports and functional deliverables to meet the functional requirements in order to achieve the desired efficiency and performance excellence.
