Job Description

JOB PURPOSE

To lead teams in delivering projects across LCGPA by managing resources, schedules, and financials and adhere to quality and control guidelines, as well as managing of issues, risks and project change requests to ensure successful and on-time project delivery and contribute to process improvement initiatives leading to improving project delivery.

 

KEY ACCOUNTABILITIES

DESCRIPTION

Budget Monitoring

§  Conduct monthly reviews to ensure accountability of all project activities as well as the accurate and timely reporting of financial deliverables and obligations.

§  Meet financial objectives by forecasting requirements through preparing a project budget, scheduling expenditures, analyzing variances, and initiating corrective actions.

§  Oversee budget pipeline development and budget monitoring to ensure adherence to the preset budget and address modification in the following project tasks to compensate in case of over-spending.

§   Monitor income and spending against budget, highlighting variances, meet budgetary objectives and make adjustments to project constraints based on financial analysis.

Project Control

§  Collaborate with Quality Control members to ensure that projects are performing as per the required standard of quality and within the timeline and budget parameters.

§  Conduct quality checks on works carried out in projects to ensure that the project meets quality standard specifications and to make sure that the project team is adhering to quality standards.

Risk Identification

§  Assess and provide risk identification, mitigation or risk avoidance strategies and other solutions for on-time project delivery and ensure resolving all high priority project risks as they are encountered.

§  Apply project management principles and tools to reduce risk, improve outcomes and enhance communication to ensure delivering the objectives of LCGPA’s projects.

§  Continuously identify and track project risks, defining mitigation and contingency plans, assigning appropriate resources, and constantly communicating status to minimize impact.

 

Reporting

§  Provide regular, timely and accurate status updates and assessments of project performance to internal and external stakeholders by monitoring and evaluating the project against agreed deliverables and project plan.

§  Draft and edit briefings, committee papers, reports, presentations and other documents in relation to the project.

§  Maintain an overview of other projects in the portfolio and their dependencies on own areas of work in order to highlight potential areas of conflict as early as possible and proposing resolutions.

Project Initiation & Planning

§  Develop the project charter, integrated project plan, resource plan, contingency plan and related project management artefacts.

Information Management

§  Draft and maintain project documents, records and other deliverables as required and as directed by the Delivery Support Division Head, including project plans and budgets.

§  Establish and document project deliverables, plans, resources and benefits, including through meetings and stakeholder engagement as required, facilitating the development of the project from high level concept to achievable deliverables.

Contractor Management

§  Search for the resources required for successful project delivery, including drafting requirements and seeking quotations, managing tenders and negotiating contracts where relevant.

§  Examine the drawings, assess the material requirements, approve and submit the material requisition accurately  to facilitate purchase of appropriate quantities of materials and to facilitate selecting of suitable supplier.

Policies, Systems, Processes, Procedures, Standards and Reports

§  Follow all relevant functional policies, processes, standard operating procedures and instructions to ensure that work is carried out in a controlled and consistent manner.

§  Assist in the preparation of timely and accurate reports and functional deliverables to meet the functional requirements in order to achieve the desired efficiency and performance excellence.
