Job Description

JOB PURPOSE

To support in developing, maintaining, and managing employee services including their payrolls, records, medical insurance, employee requests, grievances and issues, and government relations.

 

KEY ACCOUNTABILITIES

Employee Services 

§  Support in providing timely and accurate advice to LCGPA’s employees on diverse operational HR activities, processes and procedures across the employee lifecycle, including (recruitment, appointment, conditions of employment, separation and related issues).

§  Support in following up on the administration of employee attendance, vacations, leaves, etc. and send notifications, warnings, and reminders when needed.

§  Support in handling escalated employee's grievances (harassment allegations, work complaints, or other employee concerns) according to the Labor Law, employees’ rights and LCGPA internal policies.

§  Provide support to the Administrative Support Department in providing booking and travel services for the employees (airplane tickets, hotels reservations, transportation, visas, etc.) in accordance with the internal policies and procedures.

§  Support in handling the implementation of staff termination procedures including cancellation of work permits and exit permits ensuring adherence to legal requirements.

§  Support in managing LCGPA employees’ healthcare coverage and address any inquiries/ issues or concerns.

Payroll Administration

§  Support in coordinating with the Finance General department to process employees’ compensations and provide all the needed monthly data.

§  Assist in following up on the disbursement of the employees’ payroll on a monthly basis in an accurate and timely manner, including out of cycle and advance processing where required.

§  Support in managing end-to-end GOSI (General Organization for Social Insurance) administrative services (enroll new hires, monthly update of GOSI data) and communicate updated GOSI policies and procedures to ensure its proper implementation.

§  Review time sheets, work charts, wage computation, and other information to detect and support in reconciling payroll discrepancies.

§  Answer staff inquiries/ issues or concerns and provide any needed clarifications or information on the payroll, compensation and benefits framework and policies.

§  Engage in payroll calculations, such as employee termination pay outs, bonus payments, overpayments, relocation payments, housing reimbursements, travel allowance and any other payroll related calculations, under the guidance of the Sr. Manager.

§  Support in processing end-of-service settlements, loans, pensions, etc. including processing of needed files, paperwork and settlement of payments.

§  Support in recording/updating employee related details such as designation, department, location, employee status and bank details to ensure accuracy in payroll payments.

Onboarding

§  Provide support to the Talent Acquisition team in regards of onboarding new joiners into LCGPA by explaining the Policies and Procedures, provide a demo to the HR System, etc.

Government Relations

§  Support in coordinating and communicating with government entities regarding personnel matters (Ministry of Labor/ work permits, visas, social insurance, etc.).

§  Identify and adhere to legal requirements and government reporting regulations in regard to the HR processes and ensure policies, procedures, and reporting are in compliance with the Labor Law.

Record keeping

§  Support in ensuring all new and existing employees records and documents are maintained and updated (soft and hard copies).

§  Support in ensuring the relevant HR database is up-to-date, accurate and complaint with legislation.

§  Support in ensuring employees’ contracts are maintained and renewed in coordination with Legal and Compliance Sector to ensure validity and accuracy of legal content.

§  Maintain in-depth knowledge of legal requirements related to HR, reducing legal risks and ensuring regulatory compliance.

Policies, Systems, Processes, Procedures, Standards and Reports

§  Follow all relevant functional policies, processes, standard operating procedures and instructions to ensure that work is carried out in a controlled and consistent manner.

§  Assist in the preparation of timely and accurate reports and functional deliverables to meet the functional requirements in order to achieve the desired efficiency and performance excellence.
